Express Scan Workflow

Express Scan is not available for every project

If you received a barcode scanner from us in your initial shipment, and if your smart blister packs and smart bottle caps have "Package ID" barcodes or QR codes on them, you should follow this Express Scan workflow. Otherwise, you should follow the Reader-Based Workflow.

Preparation

Make sure you have read and understood the preceding pages:

Make sure you have set up your CertiScan account as described on the page:

Now, complete your preparation by setting up the barcode scanner.

Simply plug the barcode scanner into an available USB port. The barcode scanner may beep to indicate successful connection, depending on the model.

That's it. CertiScan web portal will prompt you with on-screen instructions when it is time to use the barcode scanner.

Workflow Steps

Step 1: Assign Packages to Patients

Important

Smart blister packages and smart bottle caps must be filled prior to assigning / dispensing to patients. CertiScan will automatically write off the first opening as a fill event, and additional openings will count towards the patient's dosing record. Refer to the section "Interactions with Other Processes" for more information (jump to section).

  • Obtain a filled and sealed smart package.
  • Click the "Scan Label" button in the top navigation bar.
  • Follow the on-screen instructions.

Step 2: Instruct Your Patients About Express Scanning

  • Brief patients on how to locate the scan spot on their packages and how to perform an Express Scan.
  • Direct patients to the Express Scan Instructions if they need help.

Step 3: Scan a Returned Smart Package

  • Perform an Express Scan of the patient's returned package(s) according to the Express Scan Instructions.
  • Perform Express Scans of all packages until all the patient data is uploaded.
  • Find the patient in the Patients list and drill in to view their adherence data.

If you don't see the adherence data that you expect:

  • Refresh the web portal - Express Scan may still be synchronizing in the background.
  • Check the list of "Packages" assigned to the patient to confirm that the smart package you scanned is assigned to the patient.

If the smart package is not assigned to a patient:

  • You must assign the package to the patient.
  • Follow the steps described in Step 1: Assign Packages to Patients.

Other Steps

Set Up Regimen

Setting up a regimen is recommended but not strictly required.

Regimens add various labels and color layers to the data visualizations. This helps to make adherence more apparent, for the sake of interpretation and coaching.

Search for the patient you need to set up. Drill in to view the patient details page.

Then, click the “+Add Resources” button.

  • Select a template.
  • Rename the regimen if needed.
  • Set regimen dates to match the duration of treatment (i.e. start and stop date). Stop date may auto-fill to a certain date based on your protocol's default treatment duration - otherwise you should set the stop date manually.
  • The “Advanced” toggle lets you fine-tune the schedule, but we generally recommend leaving the templated schedule as-is.

Export Data

For an individual patient or for multiple patients.

Individual Patient Export

  • Go to that patient’s details page.
  • Click “Reports” in the top right corner. Follow the instructions to generate a report.

Multi-Patient Export

IMPORTANT

Only users with “Project Admin” permission can generate reports for multiple patients. Alternatively, exports can be created for you by emailing: support@informationmediary.com.

  • Go to the "Projects" page and click the project you are working in.
  • Navigate to the “Reports” option in the project’s navigation panel.
  • Generate a new report. Follow the instructions to format the report and select data.

Interactions with Other Processes

Package Filling

For smart blister packages, medications must be placed in wells and then the packages must be heat sealed. We provide separate, standalone instructions to individuals who are responsible for this process.

For smart bottle caps the filling process is more straightforward - with one nuance. Simply open the cap, add the medications, and close the cap. The nuance is that this opening will be detected and recorded by the cap electronics. This would create a false event in the patient record, but we handle it in software. CertiScan will automatically write off the first opening as a fill event, and additional openings will count towards the patient's dosing record.

First Dose Write Off

eCAP stores every opening on its electronics, and the entire opening history is uploaded to CertiScan Cloud on every scan. Within a few minutes of the first Express Scan, CertiScan Cloud will interpret the first opening as a fill event and it will quickly be excluded from the patient records, in order to prevent false dose events.

Please be aware of this behavior. If you look at the patient record quickly enough after the first Express Scan, you may notice an additional dose which will then soon disappear, which would otherwise seem confusing.

Troubleshooting

Fixing an Incorrectly Assigned Package

If a smart package is assigned to the wrong patient, that package's records will appear on the wrong patient details page, and there won't be any records on the intended patient's page.

To fix an incorrectly assigned package:

  • Identify the patient who was incorrectly assigned a package.
  • Go to that patient details page.
  • In the Patient Setup card, click “Smart Packages” tab, and scroll/page through until you find the incorrectly assigned package.
  • Click the package ID link to open the package details.
  • In the top-right of the package details, click the ellipsis (⋮) and then click “Re-Assign Package”.
  • Follow the instructions to fix the package-patient assignment.
